  • Regional Support Centres: EMEA
    • SPMS Setup & support for 7 live conference instances at RSC-EMEA, 9 worldwide
    • Several incidents requiring support (bulk email sending, photos security)
    • Most important, recurrent problem of de-synchronisation
    • Recovery requires Matt's intervention
    • Debugging of incidents is non-trivial
  • Regional Support Centres: Asia-Pacific
    • 7 conferences
    • 7 security updates
    • Bulk email sent out as well
  • Regional Support Centres: Americas
    • N/A

Pre-Team Meeting outcome

  • Status of Acrobat/Pitstop licenses
    • Only few PitStop licenses given out, no need to buy more
  • Refereeing procedure at IPAC2018
  • Working group on Website Management
    • New structure of JACoW.org documentation. Discussion on content authors
  • JACoW sustainability
    • Continuity problem among conference series: core JACoW people doing most of the work
  • JPSP
    • Will move to GIT repository
    • New developers and users needed
    • Future role of Indico for this task
  • Future of mobile apps
    • IPAC20 will follow the path of IPAC17 and IPAC18
    • Commercial app, easy to integrate with SPMS data, convenient

SPMS-Indico Merge Project

  • https://indico-jacow.cern.ch
  • Basic core features: roles, fine-grained access
  • Abstract reviewing, contribution types
  • Restricted abstract visibility
  • Links between sessions and tracks (MCs)
  • Custom session types and contribution cloning
  • Evaluate and provide feedback to Indico team
  • v2.3 is next version with JACoW features
  • Primary development: paper processing workflow
  • Program codes, track groups, bulk assignments of posters
  • 5-6 months of ~5 people (~24 man-months of labor, 2 FTEs)
  • Development covered by associate hire funding

v2.3 at FEL19

  • v2.3 is expected to be ready for "beta testing" by FEL19
    • Hamburg, 25-30 Aug 2019 (Michaela)
  • Indico team member will be with full FEL19 team to learn, test, and support; do not know who this is yet
  • Ivan and Christine will be at FEL19 and will beta test in parallel to FEL19 paper processing in SPMS

  • Remaining functionality is needed but not supported by associate hire
    • Advanced payment options for registration
    • Event-specific rooms
    • Statistics/reports
